Start with a small set of layouts
Build layouts for the content you use repeatedly: a retail offer, menu update, event announcement or reception message. Keep logo placement, fonts and spacing consistent. Leave clear areas for local details such as a price, photograph, date or contact number.
Test each layout on the actual screen. Portrait displays, standard landscape screens and long LED strips need different compositions. Resizing should preserve readable text and important details, rather than simply stretching the original.
Separate shared content from local content
Decide which campaigns apply everywhere and which belong to individual locations. Head office might control the main promotion while a local manager updates opening hours or an event. Define that division in the account permissions and content structure.
Use names staff can recognise. For example, a folder for a location and a campaign name containing the intended month are usually more useful than a collection of files called final, final2 and newest.
Check the version that will be published
Look at the actual image, video or layout, including its dates and target screens. If someone changes an offer after that check, look at the changed version again. Keep a note of who checked it and when.
Match the check to the size of the team. A trusted local editor should not need an extra step for every permitted update, while a campaign for the whole organisation deserves a deliberate final look.
Give every promotion an end date
Expired offers damage confidence and create work for staff. Set the campaign start and end together, then choose what should play afterwards. Check overnight events, local opening hours and any competing schedules.
Before a busy period, review the next week's programme by location. Check the message, price, dates and fit on each screen format. A clear fallback keeps the screen useful between campaigns.
Make a correction straightforward
Keep a record of where shared pictures are used. Replacing a menu image should not accidentally change an unrelated location.
Keep an earlier version when you can. If an incorrect price is published, the team needs a known way to put the right one back and confirm the screen is showing it.
Train around real tasks
Show staff how to change a genuine offer, check the schedule and confirm the result. A short task guide is easier to use than a long tour of every setting. Agree who to contact when access, content or hardware causes a problem.
